FAQ: How to Include iCAL & vCAL File Attachments in Course Confirmation E-mails?

1. Update the 2 e-mail settings

To attach a the calendar files (.ics and .ical) file first go to System Configuration -> E-mail Configurations.

 

Go to the Course confirmation e-mail settings and scroll down and check the Include ICS file then click on "Submit" at the very bottom of the page.

Then go back up to the Include ICS file setting and click on calendar blue "here".

Once you click "Here" you will be taken to another System Configuration screen where you need to check "Yes" for Send Calendar Event Via Email (Confirm and Reminder). Then click "Update" to save.

NOTE: We recommend adding a note in the confirmation e-mail to tell students to click on the file attachments to download the file to their computer then upload it to their calendar in order to have the course name appear on their calendar. An error may indicate that that file is not compatible with the calendar/software version you are using.

2. Check and Update the TimeZone Setting

It is important to that your courses are all in the same time zone so that the calendar files show the correct time. Please make sure the time zone for all your courses is set correctly. To view and update as needed go to System Configuration -> Common Login, Require Login, Parent, Release Form, Multiple Signup, Group Discount, Startup Page.

From this screen please select your course's time zone and then click on "Update" at the very bottom of the page to save this setting.
