How To Use The Course Grid
This guide will discuss the Course Grid Navigation Menu and the Course Navigation component.
Access the Course Grid
Course Grid Navigation Menu
No matter where you are in the Course Grid, you should see the Navigation Menu on the left side. Each tab is dedicated to different types of functions. By default, the Course Grid will first open to the your current courses.
Navigation: Contains all of the day to day administrative tasks. The Navigation page is an overall summary of courses, students, enrollment, quick links and e-mail shortcuts. Under Courses you can view, edit and add courses, see the course dashboard (summary) and view the Roster report. Under Users you can see all or add and edit students, instructors, supervisors and admins. Under Reporting you can view various reports such as Roster, Attendance, Review Orders, Revenue, and more.
Settings: Contains pages that allow you to modify some stored fields or how fields are presented. From here you can modify Course (including materials, locations, course credit), User (registration form and fields, dashboards), Public (editing the Home page including colors, text and graphics), Integration & System (SSO, Calendar, Canvas and more), Membership and E-mail settings. It also allows editing of the Public Home page, the colors used in the Public Home page, and the Email Templates.
BlackBoard: Contains many of the BlackBoard admin settings and controls. If in doubt, please contact GSMU support before making changes to this area.
Surveys: Contains a convenient link to the Survey Module.
Certificates: In Development.
Import Module: This is where you can import students or courses (with attendance).
Information: Contains information about your system such as jobs that are scheduled to be run.
Payment Management: Contains information about your payment processor, accepted credit cards and other payment methods and pricing options.
Course Navigation in the Course Grid
The Course Grid lists the content of your course database. It is a dynamic, customizable way to access and modify these courses.
The primary filter for your courses is whether or not the course is in the past. A course is considered in the past if the current date is after the end date.
Listing
The top right buttons allow for instant sorting by numeric or alphabetical by clicking on the number or letter buttons. For example, clicking the letter "C" above would list all course names that start with that letter. The grid will display All Courses in the system that start with the selected letter, unless you specify an additional sort parameter such as "Current" or "Past" . You can further narrow down the sort by selecting "Cancelled" or "Internal" to narrow down your courses.
List by Category
You can filter listings by Main Category and Sub Categories using the drop-downs. Click the drop down to reveal the available categories, then click on one to select it.
Sorting
Once you have your basic course listing, its easy to organize the display using on-the-fly options on the Course Grid. For example, if you click on the Location column label, it will sort the results alphabetically by the Location data. It will toggle between sorting by Ascending or Descending order if you click on the column label again. If you are unsure of how the column is being sorted, click the little down arrow that appears to the right of the box when you move the mouse over the column header and you can choose Sort Ascending or Descending.
Controlling Columns
You can control which columns are displayed in the Course Grid. When you hover over a column title, click the down arrow to the right of the title to open a drop down selection of columns to show or not.
From this menu you can then pick and choose which columns are displayed by checking or un-checking the name of the columns. A checked column will display in your course grid. Course Custom Fields will also appear in this list as an option to display. Click outside the drop down box to close it.
Moving Columns
If you want a column moved, simply drag the column header left or right it to a new spot on the grid. You can control which columns are displayed as well as in what order left to right.
Searching
Type a Keyword in to the top search box to locate a specific course by course name, course ID, description or instructor name. For example typing in "Word" brings up all the courses that contain the word "Word".
NEW! Transcribed Students Column
There is a Transcribed Students column so that you can see at a glance not only that attendance was taken (or not) but that the students have been transcribed and can get their transcripts and certificates (if any).
Actions
Once you select a particular course, you can perform a number of actions on it. From the drop down in the Actions column pick from the available actions:

- Print Namecard and Labels - Edit and print namecards and labels

- Email Students - edit and generate an e-mail to send all of a list of students in the course

- Transcript - transcribe the students in the course so they can get their unofficial transcripts.
- Move or Replace students - quick way to move a student to another course or replace a student with another.
- Archive Course - archive a course.
- Promote Course - advertise your course via e-mail.
- Cancel Courses - quick way to cancel a course. Use caution when cancelling as you cannot un-cancel a course.
- Edit the Class List - Cancel students in the course or on the waitlist with or without notifying them.
Export to Excel
If you have a course list that you would now like to export to Excel, it's as easy as clicking on the Export to Excel button! This generates a .CSV file that will open in Excel as a spreadsheet (see graphic in the next step).
Excel Document
As an excel document, more complicated sorts can be performed on it and it can be easily sent to other people.
